Personal assistant for speakers and experts

Bring calm back behind the scenes within two weeks

You take the stage. I think ahead, keep your clients engaged and spot what needs attention before it gets left behind.

No prep needed. I’ll ask the questions. One client already felt the load lighten after two weeks.

Behind the stage

You’re glowing, your inbox is on fire

Today you're on stage in Utrecht, tomorrow you're on a podcast, and the day after you've still got 47 unread emails and no filter that knows which one is that booking enquiry from last week.

An organiser asked about your availability in March three weeks ago. Now there's another speaker on the programme, and with an average keynote fee of around € 3.500, that's one expensive forgotten email.

You have accounting software, a scheduling tool and a CRM, yet the invoices for Zwolle, Gent and Maastricht are still sitting in drafts because no one had time to check them and hit send. You've earned the money. It just hasn't reached your bank account yet.

It's not you. Your schedule is simply too full for one person to handle.

Leave it with me

My background

I know what it’s like when everything happens at once

Raquel chatting with a group around a table

I spent years working with groups as a trainer and host, so I know what it’s like to focus on your audience while an invoice is still waiting somewhere. That’s when you want someone behind the scenes thinking of everything, so you don’t have to.

I’ve been that someone for over twenty years. I’ve organised events and managed diaries for management teams, and for the past four years, I’ve worked as a freelance personal assistant for speakers and busy entrepreneurs. From keeping a head office with over 250 colleagues running smoothly as an interim office manager to organising a speaker’s book launch for 160 guests. I look beyond today’s leads, too. Last year’s clients get a timely message from me, so you stay on their radar when their next event comes around. Whether your client emails in Dutch, English or Spanish, they’ll always get a friendly, professional reply. ¡Tranquilo!

Tools and me

I handle the work that’s different every week

So much can be automated these days, and I make the most of it. Reminders, follow-up emails, invoicing runs and smart folders in Drive are all included, and I can build custom dashboards if you like. But a system only does what you tell it to. It won't notice that an organiser is emailing for the second time and sounds a little annoyed. It doesn't know you really don't want a 9 am call after a keynote in Maastricht. And it won't pick up the phone when a once-enthusiastic lead suddenly goes quiet.

A tool sends the reminder. I know when you're better off not sending it.

AI writes a decent draft. I know how you’d say it and who needs a warmer touch.

You need someone who keeps your tools running and sees the bigger picture. That’s me.

In three steps

From a full inbox to a clear head

  1. 1

    Step 1Drop me a message

No need to figure anything out or get organised first. In a quick intro chat, I'll ask the questions and tell you honestly if I can help.

  2. 2

Step 2We start with the Intro Month

For four weeks, I work for you two hours a week. I get to know your inbox, your calendar and your clients, while you discover how it feels to let go.

  3. 3

Step 3You feel the breathing room

Within the first few weeks, you’ll notice things coming off your plate. After the Intro Month, we’ll decide together how to move forward, so you don’t need to know how many hours you’ll need upfront.

They’ve already left it to us

Dominique de Grootkeynote speaker
An all-rounder who really takes the load off? That’s Raquel! I’d never worked with a VA before, but my business is growing and I’m looking into getting support. Letting go of things is quite a leap. For her first assignment, I brought Raquel along as my PA to a speaking gig—and I was so glad I did! She handled all the little things so I could focus fully on speaking. Raquel is thorough, really thinks of every detail, and gave me brilliant tips and advice on creating content on the day. A reliable VA / PA who’s also great company? Gets things done? Offers great advice too? I wholeheartedly recommend Raquel and hope to keep working with her for a long time to come!

A quick introduction

Raquel, organiser extraordinaire

I’m Raquel Koster Alcaraz, with a Dutch side and a Spanish side. I’ve been married for over sixteen years and I’m the proud owner of Emma, a black-and-white Pomeranian who children often mistake for a panda. My work lets others focus on what they do best, without the stress. I keep things personal, precise and light-hearted. You’ll only realise afterwards how much I’ve already taken care of. With me, you never have to ask twice.
