Your data, in good hands
As a personal assistant, I look after other people’s calendars, inboxes and admin every day, so I handle your data with care too. On this page, you’ll find out what data I collect, why, and what say you have in it.
Who am I?
RaQuality Services is the business of Raquel Koster Alcaraz. I’m responsible for processing the personal data described on this page.
RaQuality Services
Chamber of Commerce number: 86431072
Email: raquel@raqualityservices.com
What data do I collect?
I only collect data you share with me. If you fill in the contact form, I receive your first name, last name, email address and message. If you email me or send a DM via Instagram or LinkedIn, I get your name, contact details and whatever you tell me. If you become a client, I'll also need details to work with you and send invoices, such as your company name, billing address, Chamber of Commerce number and VAT number.
If you talk to Paloma, my chat assistant, I process your first name, email address and what you write in the chat. You can read how that works below.
If you give consent in the cookie notice, I also use Google Analytics to collect data on how you use this website. You'll find more about how this works below and in my cookie policy.
Google Analytics
I use Google Analytics to see how my website is used, but only if you give permission in the cookie notice. Google Analytics then collects information such as which pages you visit, how long you stay, which website or search brought you here, and general details about your device, browser and region. I see numbers and trends, not who you are personally.
I've set up Google Analytics so Google can't use the data for its own purposes or link it to other Google services or ads. I've also signed a data processing agreement with Google. Google may process data in the United States and participates in the EU-US Data Privacy Framework for this purpose. You can withdraw your consent anytime via "Cookie settings" at the bottom of each page.
Paloma, my chat assistant
Paloma is an AI assistant, not a person. She’s built into this website and answers using an AI model from Google (Gemini). Each message you send her goes through this website to that AI model so she can reply. Your conversations aren’t stored in this website’s database.
Your first name, email address and previous conversations are saved in your browser’s local storage, so you can revisit a conversation later. That data stays on your device, and you can delete it yourself in the chat or through your browser settings.
If Paloma can't answer your question, she'll pass it on to me. I'll receive an email with your first name, email address, question and the full conversation, so I can help you personally without you having to explain everything again. I treat that email just like any other message you send me.
Paloma is handy for questions about my work and getting to know me, but please don't share sensitive details like medical information, passwords or financial data in the chat. If you need to discuss anything like that, let's do it personally.
Why do I use your data?
I use your data to answer your question, through Paloma or myself, arrange an introductory meeting, send a proposal or quote and, if we work together, keep things running smoothly and send my invoices. As a business owner, I also need to keep records for the Belastingdienst, including your billing details.
I do this on the legal grounds set out in the GDPR. Answering your question via the form, chat or email, and sending a proposal are steps towards entering into a contract. Working together falls under performing that contract, and keeping invoices is a legal obligation. I ask for your consent to use Google Analytics, and you can withdraw it at any time.
You won't end up on a mailing list without asking, and I never sell or rent your data to anyone.
How long do I keep your data?
If a message, chat or introductory meeting doesn’t lead to us working together, I’ll delete your data, including any emails Paloma forwards to me, within a year of our last contact. If you’re a client, I’ll keep your data while we work together and for up to a year afterwards. I keep invoices and related records for seven years, as required by law.
I don’t keep a copy of the conversations stored in your browser. They stay there until you delete them. Data in Google Analytics is automatically deleted after [enter retention period, for example 14 months].
Who do I share your data with?
I only share your data with parties I need to do my work. These include Lovable, the platform that runs this website and powers Paloma; Google, which provides the AI model Paloma uses to reply and offers Google Analytics; my email provider; my accounting software provider; and, if needed, my accountant. Agreements are in place with these parties to make sure they handle your data carefully and don’t use it for anything else.
Service providers: [fill in: email provider, accounting software, bookkeeper if applicable]
The fonts on this website are also loaded via Google Fonts, which means Google sees your IP address when you visit. You can read how Google uses it in Google's privacy policy at policies.google.com/privacy.
Do I handle other people’s data for your business?
As your personal assistant, I sometimes get access to your inbox, calendar, customer database or admin, including data about your customers and contacts. You’re responsible for that data, and I act on your instructions. We set out these arrangements in a data processing agreement when we start working together, so you and your customers know where you stand.
How do I keep your data safe?
I use tools and accounts secured with strong passwords and two-step verification, and only give access to people who really need it. If you feel something’s wrong or your data has been misused, let me know right away.
Your rights
You can always ask what data I hold about you, have it corrected if something’s wrong, or have it deleted if I no longer need it. You can also object to its use, ask me to limit its use, or request your data in a file you can take to someone else. Send me a message and I’ll get back to you within four weeks, usually much sooner.
If you’re unhappy with how I handle your data, please let me know first so we can work it out together. You also always have the right to file a complaint with the Autoriteit Persoonsgegevens via autoriteitpersoonsgegevens.nl.
Changes
If anything changes in how I handle data, like starting a newsletter or using a new tool, I’ll update this page. You can always see when it was last updated at the bottom.
Questions?
Got a question about your privacy, or want something changed or deleted? Feel free to send me a message. That’s what I’m here for.
